Office, Bookkeeping & Marketing Assistant

We are partnering with a non-profit organization in Missoula that is dedicated to supporting Montana's quality of life, outdoor resources, and cultural heritage. This company is laid back but fast-paced! We are looking for a driven, self-motivated individual with accounting and administrative experience to support this ever passionate team.

Location:

  • Missoula, MT (In person position) 

Wage:

  • $20 to $23 per hour

Schedule:

  • This is a part-time position at 24-30 hours per week
  • Operations hours are Monday through Friday 8:00 a.m. to 5:00 p.m. but the schedule is flexible

Responsibilities: 

  • Collaborates with the Director of Operations and Accounting to reconcile accounts receivable periodically (at least bimonthly) 
  • Identify and discuss billing and A/R status problems with management/team and develop strategies to address issues, inefficiencies, and optimization 
  • Perform regular data entry tasks and maintain very accurate records, assisting in data analysis and report generation as needed 
  • Act as a liaison between different departments, including Marketing department, to facilitate smooth communication and project coordination 
  • As able, based on primary roles, and responsibilities, provide administrative support to all team members including scheduling meeting, preparing agendas, organizing office events and answering phone calls
  • Prepares, posts, verifies, and records customer payments and transactions related to accounts receivable 
  • Perform daily operations of the office, insuring a smooth and efficient workflow – this includes managing office supplies, coordinating maintenance of office supplies, and liaising with vendors

Requirements:

  • Strong accounting knowledge and previous accounts receivable experience 
  • Experience with Excel and QuickBooks Desktop 
  • 3+ years in a financial position of similar scope, including general ledgers and accounts receivable 
  • Thorough understanding of accounting cycles
  • Excellent interpersonal and communication skills
  • Ability to establish and maintain professional relationships with clients
  • Ability to quickly adapt to new tasks and changing priorities, demonstrating flexibility in a dynamic work environment
  • Strong problem-solving abilities
  • Self-motivated and able to work independently, prioritize and complete tasks under deadlines with minimal supervision
  • Strong organizational and time management skills
  • Excellent multi-tasking skills with strong attention to detail and accuracy
  • Must be able to pass a criminal background check
  • Must be able to pass a driving record check

Preferred Requirements:

  • Bachelor's Degree
Physical Requirements:
  • Ability to sit, kneel, stand, or walk for long periods of time
  • Frequent arm/wrist/hand movements (grasping, typing, reaching, etc.)
  • Ability to lift up to 20 pounds
