A well-established property management company in the Flathead Valley is seeking a Property Management Assistant to join its team. The organization manages a diverse portfolio of residential properties and is committed to providing reliable service, maintaining well-kept properties, and building positive relationships with residents, property owners, and local partners. The Property Management Assistant will serve as a friendly and professional point of contact for residents, prospective applicants, vendors, and visitors while providing administrative support to the property management and real estate teams. Responsibilities include assisting with rental applications and screenings, coordinating property showings, processing documentation, supporting bookkeeping tasks, tracking records, and responding to phone and email inquiries.

Essential Functions and Duties:
- Greet and assist visitors, vendors, prospective applicants, and current residents by phone, email, and in person
- Coordinate property showings and assist prospective residents throughout the application and screening process
- Process rental applications, background screenings, and related documentation
- Assist with bookkeeping tasks, including receiving and processing incoming checks
- Review and track certificates of insurance, resident surveys, call-center communications, and related records
- Provide administrative support to Property Management and Real Estate teams, including spreadsheets, reporting, special projects, and other assigned tasks
Qualifications:
- Previous office, customer service, property management, or real estate experience preferred
- Proficiency with Microsoft Word, Excel, Outlook, and the ability to learn property management software
- Strong organizational skills with excellent attention to detail, accuracy, multitasking, and time management
- Strong verbal and written communication skills, professional, dependable, and calm demeanor with the ability to handle sensitive information and customer concerns tactfully
- Knowledge of Fair Housing, landlord-tenant, Montana real estate laws, or property management software is a plus
- High school diploma or GED
- Driver’s license, clean driving record and able to pass a background screening
