Based at their Bozeman, Montana headquarters, this role provides primary administrative support to the CEO. In addition to managing day-to-day executive tasks, the position also oversees scheduling and preparation for recurring executive team and Board meetings. The ideal candidate is highly self-motivated and experienced in delivering dependable, high-quality support across a broad range of administrative functions. Success in this role requires the ability to interact professionally with staff at all levels in a fast-paced, time sensitive environment, demonstrating flexibility, discretion, strong communication skills, problem-solving abilities, and meticulous attention to detail.

Essential Functions and Duties:
- Provide high-level executive support through independent and collaborative problem solving in a complex, changing environment in order to effectively address a wide range of needs
- Manage complex calendars, schedule meetings with internal and external stakeholders, and prioritize inbound communications
- Coordinate global travel logistics, including commercial and private air travel and manage related expense reimbursements
- Prepare and edit presentations, reports, and executive correspondence, ensuring accuracy and confidentiality
- Plan and support executive, Board, client, and investor meetings, including scheduling, agendas, materials, and logistics
- Build strong working relationships across the organization and directly support Board members by managing logistics and addressing inquiries
Qualifications:
- Associate’s or Bachelor’s degree preferred, ideally in office administration, business, or marketing/communications
- Demonstrated experience supporting executive-level leaders with administrative and project coordination
- Exceptional written and verbal communication skills, with the ability to manage confidential and time-sensitive correspondence
- Strong interpersonal and relationship-building skills; able to engage professionally with executives, Board members, clients, and vendors
- Highly organized with strong attention to detail, able to manage multiple priorities and work independently with initiative
- Proficient in Microsoft Office (Outlook, Word, Excel, PowerPoint); experience with Mac systems is a plus
