A trusted medical products provider operating in Missoula since 2009 is seeking an Executive Assistant to join their team. This position will support the executive team including the CEO, COO, and CLO in a growing medical distribution business. This position requires the ability to manage the executive team's schedules, coordinate travel and meetings, handle daily office duties while maintaining a high level of professionalism and confidentiality.

Essential Functions and Duties:
  • Manage and prioritize the executive team's calendar, ensuring efficient time management and coordination of meetings, appointments, and events, and resolve conflicting demands for the executive team’s time
  • Partner with the Events Manager to help them coordinate complex travel arrangements for the executive team
  • Draft, proofread, and prepare correspondence, reports, presentations, and other key documents for the executive team
  • Act as a liaison between the executive team and internal/external stakeholders, maintaining strong relationships and handling inquiries in a professional and efficient manner
  • Oversee and manage ad-hoc projects for the executive team, ensuring deadlines and expectations are met
  • Assist with managing communication, including email, phone calls, and client follow-ups on behalf of the executive team
  • Collaborate with office staff to ensure smooth office operations, including supplies management and basic office tasks
  • Some travel may be required, including occasional overnight travel for events or meetings

Qualifications:
  • 10+ years of experience as an Executive Assistant, preferably supporting a CEO, with a background in start-ups, medical devices, or life sciences a plus
  • Expertise in office management, travel coordination, meeting/event planning, and handling international itineraries
  • Strong organizational, multitasking, and problem-solving skills, with keen attention to detail and the ability to prioritize under pressure
  • Excellent written and verbal communication skills, maintaining professionalism and confidentiality
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and relevant software tools
  • Strong interpersonal skills with the ability to build relationships with internal and external stakeholders
  • Proactive, with high initiative, accountability, and the ability to anticipate and address the needs of the executive team
  • Comfortable with flexible hours, including after-hours and weekend support as needed
